Let the caller know quickly that they reached the right company. For many businesses, an immediate text can handle this part.

New lead or existing customer? Emergency or estimate? In your service area or not? Not every missed call deserves the same response.

Route

Send the opportunity where it belongs: human callback, scheduling, AI conversation, emergency escalation or another appropriate path.

Follow Up

One unanswered callback shouldn't automatically be the end of a legitimate opportunity.

Track

Did you eventually reach them? Did they book? Did they buy? This is where a missed-call process becomes a revenue system instead of a notification.

Humans where humans are best; automation or outside coverage where availability breaks down.

Watch for: unclear ownership between systems.
The goal isn't to replace the receptionist with AI. Decide which calls deserve a human, which can be handled automatically, and what happens when neither is immediately available.
